BOOKING & CANCELLATION POLICY:

GUEST ASSUMPTION OF RISK:
It is the responsibility of guests to assess the risks of travel, their ability to travel and to plan and manage their reservation accordingly. This booking and cancellation policy will be strictly adhered to in all cases including but not limited to: individual and family health issues, fear of travel or any guidance against travel. Illness from COVID, including the inability to travel due to COVID is not an exception to this policy. Optional Travel Insurance coverage is available for cancellation due to illness including COVID.
TRAVEL INSURANCE IS RECOMMENDED. (see link for details)

Payment and Cancellation Policy: 

NEW RESERVATIONS will be confirmed with a 25% non-refundable payment due within 24 hours of booking (no extensions). full payment will be due 25 days prior to arrival; after which, all payments are non-refundable. Cancellations within 25 days of arrival are non-refundable.  Minimum age to make a reservation is 25.

HOLIDAY RESERVATIONS that fall between and include the dates December 18 – January 4 (holiday period) a 25% non-refundable payment is due within 24 hours of booking (no extensions) final payment is due November 1st; after which, all payments are non-refundable. Cancellations after November 1st are non-refundable.

RESERVATIONS FOR GREATER THAN 20 DAYS, a 25% non-refundable payment is due within 24 hours of booking (no extensions). full payment will be due 60 days prior to arrival: after which, all payments are non-refundable.

FINAL PAYMENT DUE DATE failure to make final payment by balance due date may result in cancellation of reservation with full forfeiture of payment.

All cancellations must be received in writing.

Booking fee is non-refundable under all circumstances.

For reservations made with credit carryovers our normal cancellation policy does not apply. credit carryovers are non-refundable under all circumstances.

The only exceptions to this policy will be in the event of a government-ordered closure of the ski resort (Vail or Beaver Creek) or government-ordered ban on short-term rentals. In the event of a government-ordered closure or ban, a full refund of all payment less a 5% transaction fee and the $75 booking fee, which are non-refundable.

TRAVEL INSURANCE IS PROVIDED BY THIRD PARTY INSURERS, VAIL REALTY IS NOT AFFILIATED, NOR RECEIVES ANY COMMISSION ON ANY TRAVEL INSURANCE PLANS.

Reservations Confirmations

Reservations are not confirmed until payment is received and accepted by Vail Realty.  Vail Realty reserves the right to terminate any advance reservation prior to the acceptance of required payment based on the sole discretion of Vail Realty

Travel Insurance

TRAVEL INSURANCE IS RECOMMENDED! Travel Insurance can offset travel costs in the event guests need to cancel their reservation. The cancellation policy and applicable cancellation fee are not subject to change due to unforeseen circumstances of the rental guest (for example, personal health, family emergency, flight cancellations,  business conflict, etc.). Travel Insurance is provided by third party providers, Vail Realty has no affiliation with any travel insurance provider and does not earn any commissions or fees. All Travel Insurance options are different, please review your Travel Insurance policy for information on covered expenses.  TRAVEL INSURANCE IS RECOMMENDED!

Check-In & Registration

All guests must check-in and register at one of our offices based on building location:  302 Hanson Ranch Road; Mill Creek Court Building (Vail Arrivals), or  at  Strawberry Park (Beaver Creek arrivals).  This reservation is specific only to the guest named on the confirmation.  Only the Guest named on the confirmation may check-in. Minimum age to check in or make a reservations is 25.  Any late arriving guest must send an image of photo id of guest named on reservation prior to arrival.

Payments

A PAYMENT IS REQUIRED WITHIN 1 DAY: OF RESERVATION. FINAL PAYMENT IS REQUIRED 25 DAYS PRIOR TO ARRIVAL! FULL PAYMENT ON CHRISTMAS AND NEW YEAR’S RESERVATIONS DUE BY NOVEMBER 1st. CASH, VISA/MC, DISCOVER, TRAVELERS CHECKS or PERSONAL CHECKS with GUARANTEE are acceptable forms of payment. (Sorry, we do not accept American Express). Advance payments may be placed in interest bearing accounts. Vail Realty will be the sole beneficiary of any interest earned. Unit and rates are not guaranteed until payment is made.

Cleaning Fees

Reservations booked directly with Vail Realty of stays of 6 nights or more will have the checkout clean fee waived. (excluding monthly rentals)

Late Arrivals

All late arriving guests, must call and make arrangements for late check-in instructions. Failure to do so, may result in a lockout upon your arrival into Vail or Beaver Creek, with no refund or reimbursement of any additional cost.  Guests arriving after normal office hours are required to register the next morning to the respective Vail Realty office/front desk.   Failure to check-in will result in suspension of housekeeping services and, if applicable, the termination of electronic key code. If you have an emergency or cannot get into your rental after hours, please call our main office line at 970-476-8800 to get connected with our on-call personnel. All Reservations of 5 nights or less will be charged a checkout clean fee. Stays of 6 nights or more this checkout clean fee will be waived.

Security Deposits

A security deposit in the form of a open, signed Visa/Mastercard or Discover imprint is required of all guests at check-in. Security deposit imprint may be used as a security/damage/telephone deposit, key deposit, and to settle any amounts owing, charges incurred or “BALANCE DUE” with respect to this reservation at check-out. Credit card imprints will be retained for a minimum of 30 days after departure.

Parking

Parking is limited to 1 vehicle per unit. (Creekside & Mill Creek Court 402 DO NOT HAVE PARKING). In Vail, additional fee parking (at guest expense) is available in public parking garages. In Beaver Creek, additional fee parking is available at public lots located at the entrance   to Beaver Creek Resort (at guest expense).

Air Conditioning

Unless otherwise specified, Vail Realty units do not have air conditioning.

Pets

SORRY, DUE TO BUILDING RULES AND POLICIES, PETS ARE NOT PERMITTED IN ANY OF OUR PROPERTIES!

Bicycle policy

Bicycles of all kinds are not permitted inside buildings, hallways, elevator, residences, condominiums (including balconies) at any time.  THIS IS A ZERO TOLERANCE POLICY.  Violations will result in immediate eviction without refund.  Vail Realty properties do not provide secure bicycle storage.  Guests assume all risks for bicycles stored in racks, on vehicles or anywhere on the premises.  Vail Realty and the properties we manage assume no responsibility for security of bicycles.

Mail Delivery

Please call Vail Realty to get the appropriate address for mail and package deliveries. All mail and package deliveries need to be addressed to one of the Vail Realty office locations. Vail and Beaver Creek do not accommodate mail and package delivery to individual properties.

Cable Television & Internet / Wifi

Cable television, Internet, and/or WIFI are free services offered by properties that Vail Realty represents.  Vail Realty does not guarantee the reliability, consistency or quality of these services and interruptions in service in our mountain community is not unusual.  Guest(s) acknowledge that there will be no rate adjustments or discounts for interruption or outages of these services during occupancy.
